Alumni Relations Coordinator
Summary Position
- Assure that quality services to alumni; development, growth, and involvement in UD functions is considered in carrying out the duties and responsibilities of this position.
- Promote and support the UD Alumni Association.
- To assess UD alumni in career progress and coordinate alumni events.

Specific Alumni Coordinator responsibilities are outlined as follows.
- Coordinate the UDAA including development, promotion networking, and communications through:
- Building networking opportunity for alumni and student body in order to benefit all through maintenance of alumni website and coordination of annual events.
- Working with the “Students’ Clubs” to develop activities that will ensure student involvement with the UDAA before graduation.
- Promoting, supporting and supervising“Alumni Speaker Series” and “Alumni - Student Mentoring Program”.
- Participating in the organization and implementation of annual graduation ceremony, and other events in order to promote continued contact with graduates.
- Representing the Internship & Career Development Center (ICDC) and the University at sponsored events.
- Serve as a historian to the UDAA by:
- Assist in writing, editing and distributing printed materials mainly “Alumni Newsletter, flyers and related “press releases”.
- Keeping UD alumni contact and employment details up to date.
- Maintain records of all alumni transactions and prepare bi-monthly reports relating to UDAA activities.
- Maintain the Alumni information display case, Alumni newsletter/ website, UDAA and Alumni-Student Mentoring flyers, the university magazine and departmental forms.
- Coordinate UDAA meetings and taking minutes of meetings.
- Conduct Annual Alumni / Employer survey.
- Organize for the UDAA Annual Homecoming event by:
- Promoting the event among UD stakeholders and handling invitations.
- Securing venue and event’s sponsorship.
- Assuming responsibility for identifying potential alumni candidates for the “Alumni Award of Distinction” and managing all aspects of the promotion, nomination, selection, and presentation process for the Award.
- Distribute appropriate Alumni Career Services literature to interested alumni by:
- 5.1. Promoting Career Services to UD Alumni.
- Keeping alumni informed of job opportunities offered by employer.
- Developing new employer resources for alumni and seek personal contact at highest decision-making level within corporations and business.
- Process purchase of alumni supplies and ID cards.
- Actively support ICDC team environment with can do attitude in order for the Center to achieve objectives and targets.
- Undertake any other duties and responsibilities as may reasonably be requested by the ICDC Manager.

Internship Coordinator
Summary Position
The internship coordinator is the “hub” and oversees all aspects of the program. S/he works with student, faculty advisor and host supervisor to create an internship experience appropriate to the student’s needs, skills and expectations.

Specific Internship Coordinator responsibilities are outlined as follows:
UD internship / Industry project
- Encourage internship exchange with business firms locally and internationally.
- Handle the internship and industry-based-project registration taking into account the eligibility criteria through:
- Downloading the list of students who are eligible for the internship / Industry-based Project from the UD system and notifying the same on the registration period through SMS, telephone, posted flyers and on UD website.
- Responding to the internship related inquiries and communicating its expectations and responsibilities to the interns, the academic and the field supervisor as and when appropriate.
- Creating individual files for interns and ensuring that all the internship required documents are complete and the files are arranged in order of sequence. (Interns’ files should be maintained for a period of one academic year).
- Identifying new and appropriate organizations to serve as internship providers. 2.5. Maintaining a current list of ongoing internships and/or potential host organizations, along with contact information.
- Organize pre-internship orientation workshop prior to the start of the internship program by:
- Informing interns on the date and venue of the workshop.
- Preparing internship hand-outs for interns and employers in accordance to each program/concentration.
- Preparing Internship “Placement Notification Letter” for each intern prior to the start of the internship.
- Ensure a smooth running of the internship program by:
- Following-up with the internship provider on the interns’ attendance especially for the two first days of internship to ensure smooth start of the internship program.
- Following-up on the collection of the internship weekly visits’ reports from the respective academic supervisors.
- Scheduling the Internship final presentation and notifying interns and academic supervisors accordingly.
- Collecting internship related projects and forms in a timely manner from interns, academic and field supervisors and file them respectively.
- Forwarding the completed internship evaluation forms to (Institutional Effectiveness Dept.) for processing and generating statistical reports.
- Uploading a soft copy of the “best report” on the ICDC website for the students’ reference.
- Prepare “Thank You Letter” or “Certificate of Appreciation” and send them to the internship providers by end of the internship program.
- Actively support ICDC team environment with “can do attitude” in order for the Center to achieve objectives and targets by:
- Maintaining and updating Internship homepage on UD website.
- Organizing, filing and displaying internship guidance materials for use by students and maintaining bulletin boards.
- Representing the ICDC and the University at sponsored events.
- Assisting in organizing ICDC’s events such as “Annual Internship Provider Award”, Career Fair and open days, “Annual Alumni Homecoming event”.
- Directing customer calls, e-mails, faxes and in-person inquiries to appropriate ICDC / Alumni team member.

Job Responsibilities:
- Achievement of Quarterly and yearly Revenue and profitability Quota, product wise.
