Our innovative teaching approach is conducted exclusively in English. These courses will be taught intensively over the Summer teaching period, which includes 3 hours of teaching 3 times per week on a basis of 6 weeks total. Position Title: Senior Administrator – Registration

Reports to: Registrar, Registration Department

Position summary

As the Senior Administrator of the Registration Department you will be responsible for overseeing the registration processes for students needing assistance beyond the online student portal. This role involves providing support to students on both front-end and back-end aspects.

Main Duties:

 Helping students with registration and add/drop procedures and collaborating with continuing students and their advisors during registration periods.

Managing various student requests, including:

  • Reviewing physical file data of students.
  • Assisting in arranging study courses outside UD.
  • Dealing with withdrawal and registration holds.
  • Handling changes in majors/programs of study.
  • Assigning Degree Audits.
  • Resolving student holds issues.
  • Facilitating graduate degree certificate handovers (clearance form).
  • Managing concerns related to sponsored students and communicating directly with sponsors.
  • Performing data input tasks and keeping track of class offerings.
  • Assisting in generating reports such, as class offerings, registered students, majors, nationalities, etc. following CHEDS data report guidelines.
  • Maintaining the correctness of student information in CAMS, such as majors, contact numbers, enrollment statuses and more.
  • Addressing room reservation inquiries within CAMS.
  • Taking care of responsibilities like handling phone calls responding to emails and fulfilling tasks assigned by the manager.
  • Reviewing/Auditing students’ physical files submitted by the admissions team.
  • Supporting in overseeing midterm and final examinations.

The individual occupying this role should exhibit adeptness in handling pressure and possess a problem-solving mindset with a focus on solutions. Report writing, and record maintenance is essential. It is imperative to maintain open communication with the university registrar, ensuring transparency regarding progress and issues. Attributes such as credibility, flexibility, and honesty are important in this position.

Education: A bachelor's degree is usually required, preferably in fields such as Education, Business Administration, Public Administration, or a related discipline. 

Experience: Significant experience in administrative roles within higher education institutions is essential.

Position Title: Senior Administrator - QAIE

PART I – Job Purpose

This role is responsible for supporting the development, implementation, and maintenance of quality assurance processes and institutional effectiveness initiatives within the higher education institution. This role contributes to enhancing overall academic and administrative excellence through data analysis, assessment, and planning.

 

PART II - KEY RESPONSIBILITIES
Describe the major duties and responsibilities of the position and assign a number in order of their importance.

 

Institutional Planning:

  •  Collaborate with various departments, including academic and administrative units to collect data and calculate indicators.

 

Institutional Research:

  • Help analyze assessment data to identify strengths, weaknesses, and opportunities for enhancement.
  • Design and implement workspace structures in Faculty Success to monitor faculty activities.
  • Conduct benchmarking exercises for institutional purposes.
  • Utilize data analysis tools and techniques to extract insights and trends for decision-making.
  •   Assist in preparing University documents such as the Fact Book, Catalogs, Handbooks, ranking submissions etc.
  •  Serve as the lead for the Digital Measures software: provide training to faculty, ensure it is being updated, pull reports, continue to develop the program for UD usage (FDP, reports) etc.

 

Ranking & Accreditation:

  • Lead in preparing reports required for compliance with regulatory agencies (MoE, CAA), accreditation bodies and ranking entities.
  •  Support the submission of various university international rankings by leading the collection of data.

 

Quality Assurance:

  • Conduct regular audits and evaluations of various institutional processes, programs, and services to identify areas for improvement and ensure adherence to quality benchmarks. (ie course files, AOL practices, SC etc.)
  • Assist in designing assessment tools and methodologies to measure student attainment of Program Learning Outcomes (PLOs) and Course Learning Outcomes (CLOs) effectively.  Work with faculty on AOL.  Implement and use Planning a Self-Study software.
  • Execute the collection, organization, and analysis of institutional data related to quality assurance and effectiveness.
  • Facilitate workshops, training sessions, and awareness programs on new processes.

 

Other:

  • Foster a culture of continuous improvement by promoting awareness and understanding of quality assurance processes.
  • Assist QAIE with other ad hoc projects.

  7. Offer assistance to students and alumni in major selection, career planning, resume and cover letter writing, interviewing techniques, job search strategies, and job negotiation.
  8. Organize face to face and virtual career events and activities including (Open days, career fairs, employers’ award ceremonies, )
  9. Organize career-related workshops, webinars, and networking events to meet the needs of UD students and alumni.
  10. Cultivate and manager a network of career speakers.
  11. Maintain the online jobs database.
  12. Monitor local and international workforce trends and develop/implement strategies within the career services area that help address these needs.
  13. Assist in compiling and providing data that is compliant with all federal and programmatic accreditation requirements including, but not limited to recruitment activities, career employment reports, academic areas represented in placements, salary scales, job market research reports, etc.
  14. Publicize partnership resources
  15. Use and maintain technology applications within the department, including, but not limited to web-based products and services, employer and student online services i.e., LinkedIn to connect students to alumni and job seekers to employers.
  16. Contribute to the creation and implementation of employer surveys, graduate surveys, response rates, and reporting results.

 

  1. Secondary Responsibilities

Internship

  1. Act as a liaison between the student, colleges and the internship providers.
  2. Collaborate with faculty and administration within Internship policy and procedures for ensuring the academic quality and integrity of internships
  3. Initiate, build and sustain partnerships with employers to develop student opportunities for experiential endeavors.
  4. Coordinate the registration process for internship and Industry Project course.
  5. Conduct site visits to evaluate appropriateness of host organizations and relevance of internships for students.
  6. Oversee internship placement formalities for undergraduate and graduate students providing employment information, paperwork and authorization.
  7. Ensure timely submission that all requirements needed for the completion of the internship program by students.
  8. Assist in the preparation of a comprehensive Internship PowerPoint presentation covering Internship general guidelines and requirements.
  9. Organize and co-conduct internship Orientation days and information programs.
  10. Perform initial screening for job descriptions, internship proposals and training plans before forwarding them to Academic Supervisors.
  11. Address concerns from students, Academic Supervisors and employers regarding the Internship program in an efficient and professional manner.
  12. Regularly review and propose amendments to the Internship webpage.
  13. Contribute to the creation/implementation of Internship providers’ surveys, response rates and reporting results.
  14. Perform other essential duties and tasks specific to the position.
  15. Collaborate in assessing the effectiveness of internship programs by identifying policies and procedure gaps and proposing recommendations for improvement.
  16. Update Internship providers’ database on a regular basis.

    Minimum qualifications

  • Bachelor Degree preferably in Career Counseling or Human Resources.
  • Minimum five years’ work experience with a recruitment or career counseling firm or in a university;
  • Career development Executive must have strong interpersonal skills so that they can work collaboratively with human resources staff and other company professionals. It is also important that they have strong communication skills because their duties involve producing written instructional materials as well as leading training programs. Analytical skills are important for several reasons. They must assess workplace issues, workplace processes and employee performance. They use the data that they process to determine how to provide training to resolve issues, improve efficiency, meet company goals and improve employee performance.
